📎 Document uploads and bulk timesheet downloads

Timesheet documents

Overview

You can now allow your workers to upload documents alongside their timesheets. This could be for invoices, expenses, clocking system logs, paper timesheets, wherever, really.

The only people who see these documents are the administrators and the workers and either of you can add, remove or download those documents.

After the documents are attached either party can then download the files individually or download all of them as a zipped up package.

If you would like to see what this is like from a workers perspective, feel free to check out the help article: How to upload documents with your timesheets where you can see a video of it in action.

Timesheet document security

As you would expect, we've added the latest in security technology by using AES-256-GCM block cipher encryption with a 128-bit auth tag and 96bit IV. By using GCM , we can both encrypt and authenticate the data at the same time. We follow the recommended operation settings as specified by NIST. If you would like some bedtime reading on this, please follow this link to find out more about NIST and their Recommendation for Block Cipher Modes of Operation: Galois/Counter Mode (GCM) and GMAC.

Bulk download timesheet PDFs and documents (Zip digest)

If you go over to any timesheet page, you'll notice that the dropdown now has an extra option titled 'Digest (Zip)'.

This will download everything that the filter is set to show such as:

  • All timesheet PDFs
  • All timesheet documents (if enabled)
  • A file summary breaking down everything within that download.

Auto hiding of inactive contracts

After you've been on the system for a while, you may find that your contracts page starts to get pretty full. Well, rather than making you go through and delete them all manually, we've done it the smarter way and made this automated for you. Basically, if there are no active workers on a contract and you have the view set to 'Show active contracts only', then the old/inactive contracts will automatically be hidden from view.

Click to dial on phone numbers

Anywhere that you see a phone number, we have now made this a 'click to dial' link so that if you have a VoIP system linked up to your computer or you're on your mobile, you'll be able to call the user with just one click - particularly useful for the Reminders page!

Timesheet filter improvement

To make things clearer, we've made some improvements to the timesheet filtering as this wasn't clear enough previously.

Missing timesheet and Reminders (beta) bug fixes

Some agencies operate on schedules different from the standard Monday-Sunday week. In certain configurations, this could occasionally cause a bug where, after clicking on a missing timesheet, the system would select the correct date but display it in the Monday-Sunday format. Fortunately, an error message would appear, acting as one of our built-in safeguards to prevent the system from becoming misaligned. While the submitter could easily correct this by manually selecting the right start date, encountering an error is never ideal, so we’ve addressed and resolved the issue.

Lots of small UI changes

We've made small UI changes here and there. Most notably (as it's seen by everyone using the system) the audit trail has been given a polish.
