Overview

Here’s an example of how you might set up a timesheet for a carer. In this case, the worker may have different pay rates depending on the type of work they’re doing, so we’ll create a separate CFT for each.

Step 1: Create the Custom Field Types (CFTs)

First, create the CFTs. For this example, we want to record a new CFT for each boat and we're going to select them to be the hourly input type - this means that they'll need to add the start time, finish time and break time. If you would like to track another type of time, you can do so at this stage. 

  • Boat 1 (or it's registration)
  • Boat 2
  • Boat 3

If you wanted, you could break this down further and have 'Boat 1 - detailing', 'Boat 1 - Electronics' etc. It's completely up to you and how you want to track these things.

Each of these will allow you to track time separately, so they can be paid at the correct rate and you can see how much time is being spent in each different trade/area.

Select field type - Hours (start, finish - break)

Step 2: Create the Timesheet Template

Now that the CFTs are set up, add them to a new Timesheet Template.

Choose a clear name that makes sense to both you and the worker. Something like “Boat maintenance timesheet”.

When adding the CFTs:

  • The order you add them is the order they will appear on the timesheet.
  • You can choose whether each CFT is visible by default or hidden using the toggle on the right. For this example, you may want to mark them all as 'hidden' so that the engineers have to explicitly select which boat they've been working on.

Making this template a default

If this is just a small part of what you do, don't worry about making this a default template but if it's all or most of what you do, it could equally be your only template or the default for all new workers (you can always change it on a worker by worker basis).

Tip!

As Boat 1 leaves and Boat 4 comes in, Add a new CFT for Boat 4 and then add this CFT to the Timesheet template and while you're there, remove Boat 1. This will prevent anyone from assigning time to the wrong boat and when you come to review the time spent on each, it will continue to be accurate.
